Timing
We treat every report with the utmost care and do our best to solve every problem within three weeks.
Owner or trustee?
As a tenant, you can report any problem to us. In multi-owner buildings, as the owner of your property, we pass on problems affecting the common parts to the syndicator for further follow-up and handling.
What is my responsibility as a tenant?
As a tenant, you are responsible for the statutory inspection of your gas boiler, cleaning of ventilation filters and any other arrangements as discussed at the time of the agreement.
In addition, we recommend the Ziezo! brochure of the Flanders Housing Agency. This brochure gives an overview of possible defects for each housing unit and clarifies which costs are the responsibility of the tenant and which of the landlord.

For the account of the tenant
As a tenant, you take care of the property as if it were your own home.
You pay the monthly rent and common costs, such as utilities (water, gas, electricity, internet, etc.) on time.
The repair costs to be borne by you mainly concern repairs required by normal use of the property.
Examples of possible damages for which you are responsible:
- A loose switch
- A leaking tap
- A loosely hanging toilet bowl
- A faulty garage door
- Clogged pipes
- A broken glazing due to your own fault
- ...
Of course, it only covers damages that occur during the term of the lease.
Therefore, take a thorough look at the property before signing the lease. The site description is an important tool for this.
For the owner's account
The cost of repairs required at the start of the rental period will be borne by owner Hestia. We ensure that the property is in full working order before our tenants move in. Even during the tenancy, we take responsibility for larger repairs to keep the property in good condition, such as:
- Blown away roof tiles or a cracked chimney
- Rotten banister
- Rusted-out garage door
- Broken glazing due to storm damage
- Plumbing leaks
- ...
At flats
Owners and tenants of flats are subject to a specific distribution of costs and charges. Maintaining the common parts of the apartment building involves additional costs.
- As a landlord, we take care of payments for repairs to the roof and lift.
Water and electricity consumption, as well as the costs of cleaning and garden maintenance of the common areas, are borne by the tenant. - Trustee fees are negotiable.
The lease stipulates whether the tenant pays these costs, or whether they are shared.
In buildings wholly owned by Hestia, there is no trustee and therefore no associated cost.
Settlement of costs
To pass on costs incurred by the landlord on behalf of the tenant, such as maintenance contracts or common charges, there are two options:
- A fixed monthly lump sum
- A settlement based on actual costs. The tenant pays a monthly commission and receives a statement once a year with supporting documents of the costs incurred.
The chosen settlement method can be adjusted by agreement between tenant and landlord.

Taking over gas and electricity when moving
With every new letting, tenant and landlord together complete an acquisition document for both electricity and gas. Greet van Thuismakelaar.be is happy to provide this document for you.
What should I fill in on the takeover document?
- EAN and meter numbers
- Meter reading and energy company
- Signatures of both tenant and landlord, including takeover date
Note: This document is not a connection to an energy company.
As a tenant, you have to provide your own details by phone or online to your chosen energy company (such as Luminus, Engie, Eneco, etc.).
Taking over water when moving

What is a placeholder?
A site description is an accurate description of the current state of a property, capturing all details and supported by photographs.
When we talk about a complete and detailed description, we also mean meter readings, number of keys, etc.
This description is discussed with both tenant and landlord as the document is a guarantee for both parties.
Any remarks about usage wear or damage are clearly marked.
In every rental, it is compulsory to prepare a place description.

Do I need to register my lease and placeholder?
Yes, registering these documents is required by law.
This can now also be done easily online via: http://financien.belgium.be/nl/E-services/MyRent
However, as a Hestia tenant, you do not have to worry about this.
We are happy to take this off your hands. In fact, our partner Thuismakelaar takes care of the registration of both the place description and the rental contract.
How do I terminate my lease?
As a tenant, you can always terminate your lease by sending a registered letter to the landlord. The correct contact details can be found in your tenancy agreement.
The termination will take effect on the first day of the month following the day on which the registered letter was sent, with three months' notice.
Example: If you send the notice letter on 17-02-2022, then the notice period starts on 01-03-2022 and ends on 31-05-2022.
When the landlord terminates the lease, he must follow the applicable legislation.
What insurance should I take out when renting my property?
Every tenant is required to take out fire insurance, combined with contents insurance and third-party liability insurance.
At the start of the lease, the landlord will request proof of these insurances.
Our service officer Nancy will ask each tenant for proof of payment/renewal of third-party liability insurance during her annual visit.
Checklist: what to do as a tenant when signing a lease
- You visit the population department of your municipality or city.
- You report the meter readings of energy and water to the suppliers.
- You contact your insurance broker regarding fire insurance (contents and third-party liability).
Tour de Rentals
Our service assistant Nancy makes a short annual visit to each Hestia housing unit. During this visit, you can ask Nancy your questions and pass on any chores or improvement works. We also check that the contact details we have from you are still correct.
These visits are always scheduled in advance and you will receive timely notification of the date and time of Nancy's arrival. The visit lasts about 15 minutes on average.

As a tenant, you are ideally placed to give us feedback, tips or suggestions.
For example, have you come up with a clever storage system for the communal basement of the apartment building?
Or would you like to see a notice board in the entrance hall where neighbours can post messages and calls?
